The terms ‘us’ or ‘we’, ‘our’ or ‘NCCC’ refer to the North Cotswold Cycling Club. The terms ‘you’ and ‘your’ refers to the user or viewer of our website.

NCCC is the controller responsible for your personal data, and is committed to protecting and respecting your privacy.

This notice explains when and why we collect personal information about you, how it is used, the conditions under which it may be disclosed to others, how it is kept safe and secure, and your rights and choices in relation to your information.

How is your personal data collected?

If you join the NCCC, your membership is managed by British Cycling – your personal data is recorded by them, and is therefore covered by their Privacy Notice which you can find at https://www.britishcycling.org.uk/privacynotice

In addition, we may collect your personal data by direct interaction when you:
– Provide your information by contacting us by any means with any enquiries.
– Provide your information by email, or fill in an on-line response form on our website.
– Provide your information when you enquire about membership.
Our website/server collects browser details and IP information when you visit our website.

What type of personal data is collected?
Personal data, or personal information, means any information about an individual from which that person can be identified. We collect and process the following data about you:

  • Contact information: name, address, phone numbers, email addresses, email messages and correspondence. The lawful basis for this is: performance of contract and legitimate interest.
  • Technical information about your visits to our website including the type of device used to access it, your IP address and geographical location. The lawful basis for this is legitimate interest – monitoring and securing our website.
  • Marketing and communications data including your preferences in receiving marketing from us, and your communication preferences. The lawful basis for this is: legitimate interest and consent.

Special Categories of data
We do not hold or process Special Categories of personal data (race, ethnic origin, politics, religion, trade union membership, genetics, biometrics, health, sex life, sexual orientation, criminal convictions or offences).

How do we use your personal data?
We use personal information to fulfil our obligations to our members; to allow initial and ongoing contact; to manage our relationship with you; to administer and our club; and to respond to enquiries.

In common with most websites, our website/server automatically collects visitors IP addresses, browser information and other technical information. This is used to count and analyse visitors to the website, but not to track you or personally identify you.

Marketing
We may use your email address for occasional low-volume marketing. If you are a member, and you have not opted out of receiving marketing, we may use your contact details to provide you with information about our club and events that we think may be of interest to you.

You can ask us to stop sending you marketing messages by contacting us at any time.

Automated decision making
We do not use any personal data for automated decision making or profiling.

Sharing your information with third parties
We may share your information with British Cycling.

We do not sell or rent your information to third parties, or share your information with third parties for marketing purposes.

We may disclose personal information if we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.

Data minimisation
We will ensure that personal data is adequate, relevant and limited to what is necessary in relation to the purposes for which they are processed.

How long do we hold your information? (data retention)
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

How we keep your data secure
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures, to safeguard and secure the information we collect.

The transmission of information via the internet cannot be completely secure. We cannot guarantee the security of personal data transmitted to us; any transmission is at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems.
